Account and Profile Information

  • Subscription status and billing information
  • User role (buyer, seller, admin)
  • Payout profile information (bank details, GCash number, etc.)

Listing and Transaction Data

  • Vehicle listing information (make, model, price, condition, description)
  • Photos and media uploaded for listings
  • Transaction history and payment information
  • Messages exchanged between buyers and sellers
  • Reviews, ratings, and feedback

Uploaded Documents

  • Vehicle registration documents (Certificate of Registration/OR-CR)
  • Emission test certificates
  • Ownership and transfer documents
  • Identity verification documents
  • Any other supporting documentation you choose to upload

Important: Uploaded documents may contain sensitive personal information. We recommend watermarking documents before upload to protect your privacy. See Section 5 for more information on document handling.

Usage and Analytics Data

  • Listing views, likes, and engagement metrics
  • Search queries and browsing history on our platform
  • Device information (browser type, operating system, IP address)
  • Cookies and similar tracking technologies (see Section 9)
  • Log data (access times, pages viewed, errors encountered)

Payment Information

Payment information is processed through third-party payment providers. We do not store complete credit card numbers or sensitive payment credentials. We may retain:

  • Transaction IDs and payment status
  • Last four digits of payment methods (for reference only)
  • Billing addresses and payment method types
  • Payout destination information (masked bank account or GCash details)

  • Analyzing platform usage and performance metrics
  • Understanding user behavior and preferences
  • Sending service updates, newsletters, and promotional content (with your consent)

Public Listing Information

Information in your public listings (vehicle details, photos, seller name) is visible to all platform users. Your contact information is never displayed publicly but may be shared through our messaging system.

Service Providers and Processors

We share information with trusted third-party service providers who assist in operating our platform, including:

  • Payment processors: Stripe, PayMongo, or other configured payment gateways
  • Cloud storage providers: For hosting uploaded images and documents
  • Email service providers: For sending transactional and marketing emails
  • Analytics services: For understanding platform usage
  • Customer support tools: For managing support inquiries

These service providers are contractually obligated to protect your information and may only use it to provide services on our behalf.

Business Transfers

In the event of a merger, acquisition, reorganization, or sale of assets, your information may be transferred to the acquiring entity. We will notify you of any such change and any choices you may have regarding your information.

5. Document Handling and Security

We understand that uploaded documents often contain sensitive personal information. We take special measures to protect these documents:

Document Storage and Access

  • Documents are stored in secure cloud storage with encryption at rest and in transit
  • Access to uploaded documents is restricted to authorized personnel only
  • Documents are associated with your account and listings
  • Admin users may access documents for verification and moderation purposes
  • Documents are not shared publicly or with other users without your consent

Watermark Recommendations

We strongly recommend watermarking sensitive documents:

  • Add text overlays like "FOR JDM REGISTRY VERIFICATION ONLY"
  • Include the current date on the watermark
  • Cover sensitive personal information (addresses, full ID numbers) when possible
  • Use semi-transparent watermarks that don't obscure critical verification details

Watermarking helps protect your documents from misuse if they are ever accessed by unauthorized parties.

Verification Limitations

While we may offer document verification features, these are not foolproof. We:

  • Do not guarantee the authenticity of uploaded documents
  • May use automated tools to detect obvious forgeries or alterations
  • Rely on manual review by staff in some cases
  • Cannot detect all forms of document fraud or manipulation
  • Encourage buyers to conduct independent verification

Document Retention and Deletion

You may request deletion of uploaded documents by:

  • Deleting the associated listing
  • Removing documents from your account settings (if available)
  • Contacting support to request manual deletion

Note that we may retain documents for a reasonable period after deletion for legal compliance, fraud prevention, or dispute resolution purposes. See Section 8 for retention details.

6. Manual Escrow Metadata Collection

When using manual escrow payment features, we collect additional metadata for fraud prevention, verification, and compliance purposes.

Data Collected During Manual Escrow

When you submit a manual payment verification, we collect and log:

  • Payment Details: Sender name, reference number, amount, and date/time
  • Proof of Payment: Screenshot or photo of payment confirmation
  • Device Information: IP address, browser type, operating system, and device identifiers
  • Session Data: Login session ID, timestamp of submission, and user agent string
  • Verification Data: OTP verification timestamp, email used for verification
  • Location Data: Approximate geographic location based on IP address

Purpose of Collection

This metadata is collected specifically for:

  • Verifying the legitimacy of payment submissions
  • Detecting and preventing fraudulent transactions
  • Providing evidence in case of disputes
  • Complying with anti-money laundering (AML) requirements
  • Maintaining audit trails for financial transactions
  • Identifying and blocking suspicious activity patterns

Retention of Escrow Data

Manual escrow verification data is retained for a minimum of 7 years from the transaction date for regulatory compliance. This includes:

  • All payment verification submissions (approved, rejected, or pending)
  • Associated metadata and device information
  • Communication logs related to the verification
  • Admin review notes and decisions

7. Mechanics Marketplace Data

Additional data collection applies to the mechanics marketplace feature for both service providers (mechanics) and customers.

Mechanic Profile Information

Mechanics who register on our platform provide:

  • Business name, headline, and biographical information
  • Professional credentials (diplomas, certificates, licenses, training records)
  • Years of experience and experience type classification
  • Service area description and location preferences
  • Service listings with pricing and availability information
  • Profile photos and credential documents

Service Order Data

When service orders are created, we collect:

  • Service details, agreed pricing, and scheduling information
  • Customer notes and requirements
  • Communication history between customer and mechanic
  • Payment and escrow transaction data
  • Service completion confirmation and timestamps

Ratings and Feedback Data

Our rating system collects:

  • Star ratings (1-5) for completed services
  • Written reviews and comments
  • Photos uploaded with feedback
  • Mechanic responses to reviews

Feedback data is publicly visible on mechanic profiles. We do not delete legitimate reviews unless they violate our community guidelines.

Credential Verification Data

When verifying mechanic credentials, our administrators may:

  • Review submitted documents for authenticity
  • Record verification decisions and notes
  • Contact issuing institutions for verification (with your consent)
  • Retain verification records for compliance purposes

8. Data Retention

We retain your information for as long as necessary to provide our services and fulfill the purposes outlined in this policy. Retention periods vary by data type:

  • Account data: Retained while your account is active and for a reasonable period after deletion
  • Transaction data: Retained for accounting, tax, and legal compliance purposes (typically 7 years)
  • Uploaded documents: Retained while associated with active listings, plus 30-90 days after listing deletion
  • Messages: Retained while accounts are active or as needed for dispute resolution
  • Analytics data: May be aggregated and retained indefinitely in de-identified form
  • Legal hold data: Retained as long as required by legal obligation or ongoing dispute

After retention periods expire, we securely delete or anonymize your information. Some information may be retained in backup systems for a limited time after active deletion.

9. Security Measures

We implement industry-standard security measures to protect your information from unauthorized access, disclosure, alteration, or destruction:

  • Encryption of data in transit (TLS/SSL) and at rest
  • Secure password hashing using modern algorithms
  • Regular security audits and vulnerability assessments
  • Access controls and authentication for internal systems
  • Monitoring and logging of system access
  • Regular backups with secure storage
  • Employee training on data protection and privacy

However, no security system is impenetrable. While we strive to protect your information, we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and should notify us immediately of any unauthorized access.

10. Your Rights and Choices

You have certain rights regarding your personal information:

Access and Portability

You have the right to:

  • Access the personal information we hold about you
  • Request a copy of your data in a portable format
  • Review and download your listings, messages, and transaction history

You can access most of your information through your account dashboard. For additional data requests, contact us at privacy@jdmregistry.ph.

Correction and Update

You can update most of your information through your account settings. For information you cannot update yourself, contact our support team.

Deletion and Account Closure

You may request deletion of your account and associated data. Upon account deletion:

  • Your listings will be removed from public view
  • Your profile information will be deleted or anonymized
  • Some information may be retained as described in Section 6
  • Transaction records may be retained for legal and accounting purposes

To delete your account, contact support@jdmregistry.ph or use the account deletion feature in your account settings (if available).

Marketing Communications

You can opt out of marketing emails by:

  • Clicking the "unsubscribe" link in any marketing email
  • Updating your email preferences in account settings
  • Contacting support to opt out

Note that you cannot opt out of transactional emails (e.g., purchase confirmations, account security alerts) that are necessary for the operation of your account.

11. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to enhance your experience and collect usage data:

Third-Party Analytics

We may use third-party analytics services (such as Google Analytics) to understand platform usage. These services may collect information about your device, browsing behavior, and interactions with our platform. Refer to their privacy policies for more information on how they process data.

12. Children's Privacy

JDM Registry is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you are under 18, please do not use our platform or provide any personal information.

If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information as quickly as possible. If you believe we have collected information from a child, please contact us at privacy@jdmregistry.ph.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this policy
  • Notify you via email or platform notification (for significant changes)
  • Provide a prominent notice on our platform
